Multi-Day Multi-Shift Events

Create complex events spanning multiple days with different shifts and time slots for each day.

Multi-Day Multi-Shift Events

Create events that span multiple days with different shifts and time slots. Perfect for festivals, conferences, and extended campaigns.

Quick Start

  1. Set Dates: Choose start and end dates
  2. Create Shifts: Use the visual dayparting grid
  3. Set Capacity: Define how many volunteers per shift

Visual Dayparting Grid Example

Drag across hour blocks to create shifts. Green blocks show selected time ranges.

SetupCapacity: 5
8:00 AM - 10:00 AM
Food ServiceCapacity: 10
10:00 AM - 2:00 PM
CleanupCapacity: 3
6:00 PM - 8:00 PM
Tip: Each row represents an activity. Drag across the 24-hour timeline to select time blocks for each shift.

Creating Shifts

The Dayparting Grid

The grid shows 24 hours across the top. Drag to select time blocks:

  • Horizontal: 24-hour timeline (12 AM - 11 PM)
  • Vertical: Each activity gets its own row
  • Visual Feedback: Selected blocks turn green

Step-by-Step

1. Select a day (if multi-day event)
2. Add activity (e.g., "Setup", "Food Service")
3. Drag across hour blocks for each shift
4. Set capacity for each shift
5. Repeat for all activities

Multi-Day Example

Weekend Festival

3 Days - Friday, Saturday, Sunday

Daily Shifts:

  • Setup: 8 AM - 10 AM (5 volunteers)
  • Event: 10 AM - 6 PM (15 volunteers)
  • Breakdown: 6 PM - 8 PM (5 volunteers)

Each day can have different shifts and capacities.

Volunteer View

When volunteers visit a multi-day event, they:

  1. Select a day from the day selector (Day 1, Day 2, Day 3, etc.)
  2. View available shifts for that day with real-time capacity (e.g., "Setup: 8 AM - 10 AM [2/5 spots]")
  3. Choose their preferred shift and complete signup

The interface clearly shows which shifts are available and which are full, making it easy for volunteers to find and sign up for their preferred time slots.

Best Practices

Shift Planning

  • Clear Names: "Morning Setup" not just "Setup"
  • Buffer Time: Allow time between shifts
  • Realistic Capacity: Don't overbook
  • Consistent Times: Use same times across days if possible

Naming Examples

Good:

  • "Food Service - Morning Shift"
  • "Registration - 7 AM - 9 AM"
  • "Setup - Day 1"

Avoid:

  • "Morning"
  • "Shift 1"
  • "Volunteers"

Tips

Planning Phase

  • Map all days before creating
  • Use consistent naming patterns
  • Test with a small event first

During Creation

  • Start with core shifts
  • Add details later
  • Use clear, descriptive labels

Troubleshooting
